Time Zones for Email Notifications, New Automation Triggers & Actions, and More! September 2024 Release Notes

After launching a handful of brand-new features in our previous update, our team’s mission throughout September was to deploy some of the most frequently requested enhancements to Motion.io’s existing functionality.  

Here are the highlights of what’s included in our September 2024 release:

  • Time Zones for Email Notifications
  • Automation Workflow Builder

  • Various Improvements & Quality of Life Updates

Time Zones for Email Notifications

A highly requested feature from our users outside the US, you can now specify the time zone your business is located in to ensure clients receive email notifications from Motion.io during regular working hours. 

To adjust your time zone, navigate to your account’s “Settings” page and use the new dropdown menu under “Timezone for emails” to have client reminders and digest emails sent according to your local timezone.

Automation Workflow Builder

The new “Automations” page in projects and templates allows you to view and manage all automations within projects and templates in a single dashboard as well as create automations with a more flexible and powerful interface. 

The Automation Workflow builder included in this update no longer restricts you to a single trigger and action. Using this new interface, you can specify multiple conditions before an action is executed once an automation is triggered and have Motion.io perform multiple actions.

Trigger Automations via Form Blocks

An expansion to Motion.io’s previously available trigger options, you can now kick off automations when clients answer questions or complete fields in Motion.io forms a certain way.

A few examples of how you can use this new trigger option include:

  • Import tasks and stages if clients opt into additional services
  • Hide/archive internal tasks that are no longer required to complete a project 
  • Set conditional due dates for tasks and stages based on project timelines

Actions to Import Tasks & Stages

In addition to a new trigger option, this update includes two new automation actions: Import Tasks and Import Stages.

The new actions enable your team to avoid manually creating tasks or stages in projects ever again. Using this functionality, you can have Motion.io automatically import the tasks or project stages you need from one of your templates.

Add Delays to Automations

In the Automation Workflow Builder, a new “delay” option allows you to specify the number of hours, days, weeks, or months before an action is executed once an automation is triggered.

While optional, adding delays to your automations can be especially useful for projects that have a defined timeline, as delays enable you to do things like:

  • Activate a task for clients to schedule a check-in call after they have worked with you for X weeks
  • Archive completed tasks or stages after Y days to hide them from your client’s view in their portal
  • Give your team Z hours to edit or customize portal pages before clients can access them

Various Improvements & Quality of Life Updates

Along with dozens of bug fixes and performance upgrades, this update includes several key improvements to Motion.io’s existing functionality:

  • Activity notification bell in project dashboards: Instead of appearing only when there is new activity in a project, the “bell” icon in the upper right-hand corner of your project dashboards will now always remain available. Clicking on this icon will let you quickly see all activity within a project, regardless of whether anything new has happened since you last accessed it.
  • Search for documents when attaching them to tasks: Previously, to attach a document to a task, you had to scroll through the dropdown menu to select the document you wanted. With this update, a new search bar in the “Attach documents” task option modal enables you to enter the first few letters of a document to select the document you wish to attach much faster.
  • Team notifications for counter-signatures: When clients submit documents that require team members to countersign or fill out additional information, team members assigned to fields in the document will receive an immediate email notification informing them that their participation is required.
