Internal Task Enhancements, My Tasks View, Internal Notes, and More! June 2024 Release Notes

Our June 2024 product update is a significant milestone for our team and the Motion.io platform. We’ve heard countless times from our Motion.io customers that, given how simple and easy Motion.io is to use with clients, you’d like to utilize the tool for managing client projects internally as well.

This release represents our first step in transitioning Motion.io from an onboarding tool to a platform that teams can use to manage client-facing and internal team collaboration throughout the entire customer relationship in one place.

Internal Task Enhancements

Prior to this release, Internal Tasks were just a way to share with a client what you and the team were working on. Now, you can create private sub-tasks, assign them to team members, share files, and communicate–and all of this is entirely hidden from your client’s view.

My Tasks View

To help you and your team members keep track of your responsibilities, the new “My Tasks” view included in this release provides a filterable list of your assigned Internal Tasks across all projects you are a member of.

Clicking the title of an Internal Task from this view allows you to access attached files and private subtasks related to it, mark assigned subtasks “Complete,” and exchange messages with other team members about the task – all of which remain hidden from your client’s view.

Internal Project Notes

In addition to our improvements to Motion.io’s Internal Task functionality, you can now create private notes associated with each client project that only you and your team members can access.

You can use Internal Notes in active projects to record things like live conversations with clients as well as add them to project templates to give team members access to information like standard operating procedures each time a new project is created from a specific template.

Internal Notes for Helpdesk Tickets

A final aspect of this release that strengthens Motion.io’s utility as a client collaboration and internal task management tool is the ability to write internal notes on Helpdesk Tickets.

Using this new functionality, you can write messages on support tickets that are visible to your team but remain hidden from clients. This allows you to loop in other team members or provide clarifying details about a ticket without worrying about clients seeing the behind-the-scenes shop talk.

Custom fields

Custom Fields allow you to further tailor your Motion.io customer experience to your business in a streamlined and automated way. With this new functionality, you can set Custom Fields that will update dynamically in tasks, portal pages, and iframe embeds.

As a part of launching this new functionality, we’ve also updated Motion.io’s “Create Project” Zapier action to allow you to automate setting Custom Field values in new projects. This opens up a world of powerful new Zapier automations, such as dynamically populating Google Drive folders in tasks and portal pages.

Various Improvements & Quality of Life Updates

In addition to a few dozen performance updates and bug fixes included in our June 2024 release, we’ve significantly improved a handful of existing Motion.io features.

Our June 2024 release includes the following:

  • View client emails in project activity feeds: Emails that Motion.io sends inviting clients to portals, reminding them of tasks they need to complete, and updating them on portal and task activity are now displayed in the activity feed of each project. This new functionality allows your team to quickly understand what emails Motion.io sent to clients and when.
  • Direct file uploads button in client portals: In addition to providing files your team requests through file collection tasks, clients can upload files at any time through their portal’s “Files” page by clicking the “Upload Files” button in the upper right corner.   • “My Uploads” folder for clients: Any files a client uploads are now automatically added to their portal’s “My Uploads” folder. To learn more about how file management works in Motion.io, click here.
  • Forms page search: The “Forms” page of your account now includes a search bar to help your team quickly find a specific form they want to edit or use.
  • Default collapsing of project stages: To provide your team with a cleaner and clearer view of the various tasks and stages in your Motion.io projects, stages within active projects that have been completed or archived are now collapsed by default.
  • Team chat view: Client chat messages sent through Motion.io projects and portals will now trigger a notification badge in your team’s account sidebar next to the new “Chat” tab. Clicking on this tab will open a log of all chat messages, with the most recently active chats filtered to the top so you and your team can effectively prioritize and respond to the clients who sent them.
  • Zapier form response formatting: To make the process of mapping fields from a Motion.io form submission to subsequent actions in a Zap more straightforward, we’ve enhanced the formatting of responses when using Motion.io’s “New Form Submission” trigger in Zapier.
