Calendar View, AI Stage Builder, Custom Signing Order for Contracts, and More! August 2025 Release Notes

August was a milestone month for Motion.io. In just 30 days, we shipped dozens of client-requested features and team-driven improvements—setting a new bar for how quickly we’re advancing toward our goal of building the world’s best customer onboarding platform.
With updates that make deadlines clearer, contracts more flexible, and project progress easier to share, collaborating with clients now feels far less manual—and far more transparent.
Here’s a look at the biggest updates we released in August 2025:
- Calendar View for Tasks: Plan and manage tasks visually with a clean calendar layout.
- AI Stage Builder: Instantly generate entire project stages—including tasks, forms, and automations—with one click.
- Custom Signing Order for Contracts: Choose the signing sequence that works best for your team and your clients.
- Enhanced Project Progress Tracker: A modern, shareable progress tracker with subscription notifications to keep everyone aligned.
- New Automation & Import Options: Import tasks and stages with more flexibility, including instant activation and new automation triggers.
- Dozens of Additional Improvements: From performance upgrades to system-wide refinements and bug fixes, we’ve continued to raise the bar on reliability.

Calendar View for Tasks
Keeping track of deadlines is easier than ever with the new Calendar View for Tasks. In addition to the list view and filters already available on the Tasks page, you can now switch to a calendar layout that organizes tasks by their due dates.

This gives you and your team a clear, visual way to:
- See upcoming tasks across the entire month
- Quickly identify busy periods, gaps, or potential scheduling conflicts
- Plan ahead without losing track of more minor details hidden in long task lists
Because the Calendar View pulls directly from task due dates, it stays automatically up-to-date as you and your clients create or adjust tasks. It’s a faster, more visual way to manage project timelines without relying on external tools or spreadsheets.
AI Stage Builder
Setting up project stages used to mean building them out task by task, attaching forms, and configuring options. The new AI Stage Builder eliminates that manual work by letting you describe a stage in plain language—Motion.io handles the rest.
Here’s how it works:
- Type out a description of the stage you’d like to add.
- Motion.io instantly generates all the necessary tasks with the right options applied.
- If forms are required, AI Stage Builder will automatically create and attach them to the relevant tasks.

This flexibility is especially useful in two scenarios: when you need to update templates quickly without manually editing every step, and when a client requests something outside your usual process.
In both cases, you can spin up a tailored stage immediately without starting from scratch.
Custom Signing Order for Contracts
Contracts now adapt to the way your team works. With Custom Signing Order, you’re no longer locked into a single workflow where clients always had to sign first.
When creating either a contract template or a one-off contract, you can now specify exactly who should sign first, second, or last.

This flexibility ensures that approvals flow in the right order, whether you want your internal team to sign off before sending documents to clients, or you prefer clients to sign first to kick things off.
Enhanced Project Progress Tracker
We’ve redesigned the Project Progress Tracker to make it more intuitive and informative for clients. The updated design features a modern layout, clearer task markers, and a visible progress bar—so clients can quickly understand where things stand without needing extra explanations.

But design is only part of the update. We’ve also added two powerful new ways to keep everyone aligned:
- Shareable updates: Copy the progress tracker (complete with emoji indicators for each task) and paste it into an email, report, or any external tool your team uses for updates. Clients and stakeholders get a clear snapshot of the project even if they aren’t logged into Motion.io.

- Subscription notifications: Clients can now subscribe to the progress tracker to receive automatic updates whenever a task or stage is completed. No more manual check-ins!

New Automation & Import Options
We’ve made importing tasks and stages smarter and more flexible.
With the new “Activate task on import” setting, any tasks brought in through automation are instantly available for your team or clients to complete. This eliminates extra steps and ensures work can begin the moment tasks are created.
BONUS: We’ve also expanded what you can do with stage imports. Entire stages can now be imported along with their existing automations—whether added manually or via an automation action.
Even better, you can trigger new automation actions the moment a stage is imported into a project, giving you full control over how projects evolve as they progress.
Fixes & Quality-of-Life Updates
A few smaller updates also went live in August to make Motion.io more flexible and reliable:
- New Recurring Task Options: Set custom intervals in weeks or months, making it easy to schedule biweekly, quarterly, or other flexible recurrence patterns.
- On Hold Project Status: Pause reminder emails and portal notifications without closing a project by setting its status to On Hold.
- Faster, More Reliable CSV Imports: Large lists of projects and clients now import more quickly and without timing out.
- Zapier Trigger for Client Requests: Client Request forms embedded in portal tabs can now be used as triggers in Zapier. For example, automatically create a new project whenever a client request form is submitted.
- Streamlined Conditional Logic in Forms: Search for fields when setting up conditional logic instead of scrolling through long lists.
