Our October 2024 release introduces a highly requested feature for communicating project status to clients while equipping your team with new tools that make it faster and easier to manage dozens—and even hundreds—of projects simultaneously in Motion.io.

Project Progress Tracker
Are you familiar with Domino’s now-famous Pizza Tracker?
Motion.io’s new built-in Project Progress Tracker is like a Pizza Tracker, but for your business. It lets you provide customers with clear visibility into the status of their projects—from onboarding to offboarding—directly in their client portals.
When developing the new Project Progress Tracker, our team prioritized making it a significant step above other solutions you may have tried by ensuring its usage is:
- Automated: As soon as a stage’s status changes to “Active” or “Complete,” the update is automatically reflected in the tracker.
- Flexible: Show “Draft” stages in the tracker to help clients better understand the entire project timeline, or leave them hidden to exclude them from the tracker.
- Scalable: Customizations you make to the Project Progress Tracker in a template automatically carry over to new projects created from that template.

New Projects Dashboard
Since our update to the Projects Dashboard earlier this year, we’ve heard from users about additional filters, views, and bulk actions that would be especially useful when managing projects at scale.
With our latest round of improvements to the Projects Dashboard, you can now:
- Surface the projects that most need attention by viewing projects with overdue tasks, no recent activity, no active tasks, and tasks assigned to you.
- Filter by specific stages to understand how projects are progressing through your pipeline.
- Utilize new project bulk actions to update multiple projects simultaneously without leaving the dashboard.

Send Tasks in Multiple Projects
In addition to new filters and an improved interface, the Projects Dashboard includes a new bulk action called “Import Tasks,” which allows you to import tasks from any of your Motion.io templates in multiple projects simultaneously, assign them to clients, and send them out in seconds.
This new functionality is a game changer if you’re managing multiple projects in Motion.io, as it allows you to do things like:
- In a few clicks, send out recurring tasks clients must complete each day/week/month/etc. to multiple projects simultaneously.
- Send customized follow-ups to all projects in your Motion.io account without recent client activity.
- Import entire stages once a group of projects passes a particular milestone (for example, importing offboarding tasks for all projects marked as “Completed”).

Export All Responses for a Specific Form
If you’d like to export all submissions for a particular form in bulk, Motion.io now provides a fast and convenient way to do so.
To bulk export all submissions of a specific form, navigate to your account’s “Forms” page and click the “download” icon on the right side of that form. A modal will open, prompting you to save a CSV file containing all the submission data for that form.
Various Improvements & Quality of Life Updates
With this release, we’ve made significant performance improvements to the “Tasks” view of projects, which allows it to run nearly 5x faster and helps ensure your and your team’s usage of Motion.io is fast and smooth regardless of the number of active projects you’re managing.
Alongside our focus on improving Motion.io’s performance and fixing dozens of more minor bugs, we’ve also implemented the following quality-of-life updates:
- Comments Icon in Tasks List: To help you and your team more quickly surface tasks with new comments you need to respond to, the “Tasks” page of your Motion.io projects will now show you the number of new comments on each specific tasks since you last accessed it.
- Embedded Audio Files: In addition to image, video, and PDF files, you can now upload audio files using the “Attach Files” request option, which allows clients to access them directly in a task.
- Mobile Responsiveness Improvements: To ensure your clients’ experience is frictionless regardless of what device they use to access a portal, we’ve further improved Motion.io’s responsiveness on mobile devices.
- File Upload Limit Increase: We’ve increased the maximum file upload size for team members and clients to 200 MB in both tasks and direct file uploads.
- Mark Form Tasks Complete: In this release, we rolled back a previous update that required clients to complete all fields in forms attached to tasks before Motion.io team members and admins could mark those tasks “Complete” in the project.
