Company Directory, Require Team Review for Client Tasks, and More! January 2025 Release Notes

Before the year even started, our team was already working to deliver the first round of Motion.io features and improvements on our 2025 roadmap. With the new year having just begun, we’re excited to share that our first major release of 2025 is already live.

Here are the highlights of what’s included in this release:

Company Directory (CRM)

The new Companies tab in Motion.io’s built-in CRM gives you a comprehensive view of the people and projects tied to specific organizations. Create company profiles, associate clients with them, and manage everything in one place for better project visibility and coordination.

Require Team Review Task Option

Say goodbye to creating separate review tasks! The new Require Team Review option lets you seamlessly incorporate review steps directly into client tasks. When toggled on, this feature assigns a specific team member to verify that a client has completed a task correctly before marking it as “Complete.”

This improvement streamlines task management and ensures quality control without added complexity.

Hide Internal Tasks from Clients

Sometimes, clients don’t need to see everything happening behind the scenes. To keep things simple and professional, Motion.io now allows you to Hide Internal Tasks from clients. This means your team can collaborate on all aspects of client work within a single platform—no need for separate tools—while keeping sensitive or unnecessary details private.

Message Center Improvements

Since releasing the initial version of the Message Center in November, our team identified several improvements that could help businesses get additional value from this feature and further streamline their client communication in Motion.io. 

This latest release includes the following enhancements to Motion.io’s Message Center:

  • Improved tab structure: Tabs are now categorized as “Inbox,” “Archived,” “Comments,” and “Chat,” making it easier to navigate and filter conversations.
  • Enhanced chat functionality: From the “Chat” tab of the Message Center, select any active project from the dropdown menu to initiate a new chat or revisit previous conversations.
  • Reply indicators: After replying to a task comment or chat message, a green arrow indicates to other team members that you’ve replied.

Email Notification Improvements

With this release, we’ve updated the “Notifications” page to give you more granular control over how frequently Motion.io sends email notifications about different types of activity. The two categories in which you can set notification preferences—”Client Messages” and “Other Activity”—operate independently of one another for each project or template you configure.

Various Improvements & Quality of Life Updates

In addition to the new features explained above, this release includes several other meaningful new additions to the Motion.io platform alongside dozens of smaller bug fixes for existing functionality.

The list below highlights the various improvement and quality-of-life updates included in this release:

  • Download Client-Approved Files: Approved files are now automatically added to a new “Approvals” folder within each project. Team members can quickly download all client-approved files in bulk. Click here to learn more.
  • Improved PDF Exports for Forms: In addition to improving the overall structure and appearance of the PDFs Motion.io generates, we’ve made it so PDFs of Motion.io form submissions have consistent style and formatting when printed.
  • Redesigned Project Tasks Page: We’ve redesigned the “Tasks” page of Motion.io projects to make it easier for team members to surface important information and perform bulk actions.
  • Activity Feed Comments: Fixed a bug preventing admins from commenting on tasks via the activity feed.
  • Zapier Updates:
    • The “Find Project” action now includes custom field information.
    • The “File Uploaded” trigger now includes the task name associated with uploaded files.
