Automations, Team Helpdesk View, Customizable File Folders, and More! May 2024 Release Notes

We’ve been grateful to be helping more and more businesses streamline their client projects. Our May 2024 update focuses on helping you keep those projects moving while reducing the number of emails, meetings, and manual tasks required of your team. 

Here’s a list of the key features and functionality included in this release:

Built-in Automations

Motion.io’s built-in automations (available now for all Professional plan subscribers) allow you to build fully automated workflows that create a seamless process from the moment a client signs on, through feedback and product delivery, to final approval and launch.

Using this new feature, you can specify an action that automatically occurs when another event (called a “trigger”) occurs in one of your projects or client portals.

For a real-world example:

Suppose you’ve set up a project template where the first task in the initial “Onboarding” stage is to have the client complete an onboarding form. You could create an automation so that the task directly below it- asking the client to schedule a kickoff call- automatically becomes active once the client signs and submits their onboarding form.

Team Helpdesk View

Motion.io’s Helpdesks (available for all Professional plan subscribers) enable clients to submit support requests directly through their client portals. After hearing from users that managing client tickets in a centralized dashboard would benefit their teams, we’ve added a new Team-level Helpdesk view that allows them to do just that.

With this release, you’ll see a new “Helpdesk” tab in your left sidebar with notification badges that inform you of new Helpdesk activity. Clicking either of these options will bring you to a dedicated Helpdesk view that enables you and your team to see all Helpdesk activity across all Motion.io projects to easily manage support tickets and communicate with the clients who submit them.

Customizable File Folders

After hearing from users that having more control over the files and folder names in their client portals was essential to them, our just-released improvements to Motion.io’s file manager allow you to do so.

With this update, you can customize the folders and files available to clients in their portals while ensuring project files are organized and convenient for your team to access.

Improved Portal Page Editor

In Motion.io, you can create, delete, and modify all of the pages clients can access in the left sidebar of their portals. With this update, we’ve reworked the portal page editor interface to make it easier to access and use.

Instead of accessing the portal page editor through a separate navigation option within projects, portal pages can now be created and modified by clicking “Portal” from the options at the top of your screen. A new toggle option at the bottom of the editor provides increased clarity as to whether a portal page is visible to clients, and a new “Preview” option at the top gives your team the ability to quickly view portal pages as a client without a workaround to do so.

Various Improvements & Quality of Life Updates

Alongside the new features included in this release, our team prioritized enhancements to Motion.io’s existing functionality that will help streamline task management and client communication in Motion.io.

Our May 2024 release includes the following:

  • Enhanced Task Creation Flow for File Approvals: Instead of a toggle that turns approvals either on or off for all files attached to tasks, you can now pick and choose the specific files you’d like to require approval on by clicking a checkbox next to each file in pop-up modal.
  • Improved Image Zoom: Instead of the uni-directional Zoom included in previous versions of Motion.io, large files attached to tasks now feature the ability to Zoom both in and out.
  • Instant Notifications for @mentions: Team members and clients tagged (using the “@” symbol + their name) in task comments, chat messages, and Helpdesk communications will receive an instant notification about the message regardless of their email communication preferences.
  • Client Digest Emails: Clients will now receive a digest email summarizing all new comments and internal task activity when there has been new activity in their project over the past 24 hours.
  • Embeddable Link Detection: When adding links to the description area of a task or portal page can be embedded directly, Motion.io will prompt the user and provide instructions.
  • New Zapier Triggers: New Helpdesk tickets and new client messages related to Helpdesk tickets can now trigger Zaps that do things like send Helpdesk tickets to Slack.
