Enhancements to Project Management, Client Portals, and Message Center! April 2025 Release Notes

At Motion.io, we’ve been heads-down tackling the “paper cuts”—those small but persistent UX frustrations that add friction over time. These aren’t just hypothetical issues either—they came straight from you, our users, through real-world feedback and hands-on experience.
The result? A release packed with thoughtful improvements across project management, client portals, and the Message Center. It’s not flashy—but it is the kind of work that makes a good product feel great.
Here’s what’s new in this release:

Project Management Improvements
New “Tasks” View
Previously, the “My Tasks” tab only showed tasks assigned to the logged-in user. Based on user feedback, we’ve expanded its utility and renamed it simply to “Tasks.”

This new view enables you to:
- View all tasks across all Motion.io projects
- Filter tasks by:
- Assignee
- Due date or overdue status
- Specific date ranges
- Team or client
- Task name (search)

Whether you're a project manager overseeing progress or a contributor looking to stay focused, this update provides unmatched visibility across your Motion.io workspace.
Clearer Visibility Into Which Tasks Appear in Client Portals
We heard from customers that it wasn’t always obvious which tasks were visible to clients in their portal—and why or why not. This sometimes led to tasks being unintentionally hidden because they weren’t assigned, were left inactive, or didn’t include the client.

To solve this, the Task Page (in list view) now includes a new “Portal Visibility” column. You’ll see:
- ✅ A green icon when a task is visible in the client portal
- 🚫 A gray slash icon when it is not
Hovering over each icon shows a helpful tooltip that explains exactly why the task is or isn’t showing. This makes it easier than ever to keep clients in the loop and helps your team quickly understand what tasks are hidden or shown to them in their portals.
New Filters in Board View to Find What Matters Faster
We’ve added new filtering options to the Board View inside each project, so you can zero in on the exact tasks you’re looking for.

Within individual projects, you can now filter tasks by:
- Stage
- Assignee
- Due Date
- Most Recent Comments
It’s a faster, more flexible way to organize your project view and stay focused on the work that needs your attention.
Client Portal Enhancements
Following last month’s complete redesign of Motion.io client portals, we’ve continued refining the experience based on customer feedback.

- Custom Portal Pages in Project Sidebar: Clients can now access Custom Portal Pages directly from the Project section of the portal sidebar, making them easier to find and use.
- Simplified Navigation: We’ve removed dropdown menus from project pages in the client portal for a more intuitive and streamlined navigation experience.: Clients can now access Custom Portal Pages directly from the Project section of the portal sidebar, making them easier to find and use.
- Rename Built-In Portal Pages: You can now rename the default Files, Helpdesk, and Messages pages from your account settings to better match your terminology or brand.

Message Center Upgrades
Last release, we introduced task creation from client communications in the Motion.io Message Center—a feature that quickly became a favorite.

In hearing from customers how helpful this new functionality has been for streamlining their client communication in Motion.io, we’ve built on that success with the following improvements:
- Full Task Composer Access: You now get the full task creation experience when generating tasks from a client message, just like in the project board/list view.
- Task Context in Conversations: Messages used to create tasks now display a link to the task details, helping your team stay connected to the bigger picture.
- Improved “Visit Task” Button: Clicking “Visit Task” in the Message Center will now take you directly to that task in the corresponding board view, saving time and clicks.

Various Improvements & Quality-of-Life Updates
Smaller enhancements can make a big difference in daily workflows. This release also includes:
- Easier Form Building: Add form elements anywhere in your form layout with fewer clicks and more flexibility.
- Clearer Required Field Alerts: Clients will now see clearer, more prominent alerts if they skip a required field when submitting forms.
- Project Name in Form Exports: Bulk-exported form responses now include the name of the associated project, making it easier to sort and analyze submissions.
- New Activity Notification Bell: A bell icon has been added to the top-right corner of all project pages, alerting you to important updates and notifications.
- Smarter Admin Email Notifications: Admin users will no longer receive email notifications for their own in-app activity, reducing noise and keeping inboxes tidy.
