Improved & Redesigned Task Composer, Recurring Tasks, and More! February 2025 Release Notes

Our February 2025 update might look modest at first glance, but it packs a serious punch.

This release introduces one of our most highly requested features—recurring tasks—along with a redesigned task composer that brings new functionality for both internal and client-facing tasks. We’ve also added a host of smaller improvements and quality-of-life enhancements to keep your client project workflows smooth and efficient.

Improved & Redesigned Task Composer

We’ve completely redesigned Motion.io’s Task Composer to make creating both client and internal tasks faster and more intuitive.

With this update, the task options previously located under the “Description” section are now displayed as buttons, organized into three clear categories — Attach, Require, and Schedule — on the right side of the composer. Additionally, we’ve standardized the functionality across client and internal tasks, so you can now easily toggle between task types even after the task has been saved.

Recurring Tasks

With Motion.io’s Recurring Tasks feature, you can easily set tasks to repeat on a schedule that works for your team.

Once a task is made recurring, it will automatically be assigned to the designated client or team member at the specified intervals — saving your team time and ensuring no ongoing client needs slip through the cracks.

Checklist Option for Tasks

Ever wanted to add a checklist of action items for clients to complete within a task? Now you can!

Previously, checklists were only available for Internal Tasks in Motion.io. With the new Checklist option in the redesigned Task Composer, you can now create and assign to-dos directly within tasks — for both clients and team members — making it easier to track every step.

Client Email Reply Logging

To further centralize your project communication in Motion.io, client replies to notification and reminder emails will now be automatically logged in the Message Center. This new functionality applies to responses to chat message notifications, notifications and reminders about individual tasks, and daily digest emails.

Project Progress Tracker Preview

With this update, you and your Motion.io team members no longer need to access the client’s portal to view the Project Progress Tracker. Instead, you can now view it directly from the Tasks page of each project, making it easy for your team to see exactly what your clients see.

Various Improvements & Quality of Life Updates

In addition to the new features outlined above, this release includes a range of enhancements to existing functionality — plus major performance improvements that make Motion.io faster and easier to use for both clients and your team.

Here’s what’s new:

  • Faster Client Portals: Client portals now load up to 70x faster, providing a smoother experience for your clients.
  • Sort Projects by End Date: From the Projects Dashboard, you can now sort projects by their target end date, giving you better visibility into upcoming deadlines.
  • Improved PDF Exports for Forms: PDF exports for forms with lengthy task descriptions have been improved to prevent overlap with form submission data.
  • Increased File Upload Limit: The maximum file upload size has increased from 200MB to 500MB, giving clients and team members more flexibility when sharing files.
  • Notification Enhancements:
    • When an automation triggers multiple task activations, clients will now receive a single consolidated notification email instead of multiple messages.
    • Team members can now set separate notification preferences for client comments, chats, and helpdesk tickets, with options to receive notifications immediately, daily, or not at all. Click here to learn more.
  • Zapier Updates:
    • The new “Client Profile Updated” trigger allows you to launch a Zap whenever a client is added or updated in the Motion.io Client Directory.
    • The “Create Project” action now includes a dropdown to select the project owner from your team, removing the need to manually enter an email address.
